Terms & Conditions
By booking with us and paying the deposit or full payment, you acknowledge that you have read, understood and agree to be bound by these conditions.
1. How to Book
To reserve your place on one of the tours, complete and send us the Reservation Form along with a US$500 per person deposit unless otherwise specified. Some trips require full or additional payment and can be non-refundable. Refer to your individual trip notes for explanation. Send all paperwork to: Grand Asian Journeys, PO Box 1508, Poulsbo, WA 98370.
Quotes are in US dollars and payment must be in US dollars by cash, wire transfer, personal checks drawn on US banks or money order. Balance payment must be made 60 days prior to departure. Full payment is required if booking is within 60 days of departure. While we will send out reminders, please make a note on your calendar of your final payment due date, as it is your responsibility to ensure that we receive your final payment in a timely manner.
- 75 days prior to departure – we will send a reminder email for final payment.
- 60 days prior to departure – final payment is due; if payment is not received $100 late fee applies another email will be sent.
- 45 days prior to departure – if final payment is not yet received, it will be deemed you have cancelled. Deposit (and airfare, if purchased with Grand Asian Journeys) is forfeited.
3. Tour Prices
Prices quoted by Grand Asian Journeys are subject to change. Grand Asian Journeys reserves the right to adjust prices whether or not you have already made full payment. We will do everything within our control not to adjust prices and will generally only amend prices in the event of marked fluctuations in exchange rates, fuel costs, or other operating costs on which prices are based. Any increase in trip costs must be paid in full prior to departure date.
4. Health Requirements
You must be in good health and physical condition and are advised to follow our pre-departure fitness training where necessary. Any pre-existing physical, mental, or emotional disability that may require attention or treatment must be reported in writing prior to the beginning of a tour. If you have a pre-existing medical condition you must obtain clearance from your doctor to participate on the trip. If a tour participant requires special medical assistance, that participant is responsible for being accompanied by a qualified helper who assumes total responsibility for the participant’s well being. Grand Asian Journeys reserves the right to exclude from the tour any participant whose physical condition or conduct impairs customary operation of the tour, even after the tour is in progress. Should any physical or mental handicap become apparent while on the tour, and cause hardship to the driver, tour director and/or other tour members, or if a participant’s conduct is deemed incompatible with or disruptive to the interest of the tour group, the driver or tour director retains the right to expel that person or persons from the tour. Should a tour participant leave the tour early, for any reason, whether voluntarily or through expulsion, any expenses incurred for the tour participant to return home are the responsibility of the participant and all tour fees and costs are forfeited.
A passport, valid for at least 6 months after your return, is required. Travel documents, including visas, and compliance with customs regulations are the responsibility of the client. Grand Asian Journeys, its owners, agents and employees cannot be held liable for clients not having proper passports, visas, and other travel documents.
6. NSF Check Fees:
If a payment is returned due to non-sufficient funds (NSF), Grand Asian Journeys will assess a $35 returned item fee per occurrence. The fee(s) will be added to the applicable tour balance, and will be required to be paid in full prior to your tour departure.
7. Single Supplements:
We offer optional, limited, extra-cost single supplements on each of our tours if you wish to guarantee a private room of your own (prices currently range from an additional $200 – $1,500 depending upon the specific itinerary you select; refer to www.grandasianjourneys.com for the most up-to-date single supplement prices). Single supplements are mandatory if we are unable to find a person to share a room with you. You may choose to cancel if you do not wish to pay the Single Supplement and will be eligible for a full refund if you cancel 45 days prior to departure.
8. Reservation Amendments
All reservation amendments will be subject to changes in the cost and subject to the same cancellation policies.
9. Force Majeure
Grand Asian Journeys will not be liable for any delay in, change to or cancellation of trips due to ‘Force Majeure’. ‘Force Majeure’ means a circumstance beyond the reasonable control of Grand Asian Journeys and includes, but is not limited to, war or threat of war, riot, civil strife, terrorist activity, industrial dispute, disease, industrial or nuclear disaster, adverse weather conditions, fire and strikes, government sanction, blockage, embargo, labor dispute, strike, lockout or interruption, or failure of electricity or other necessary service.
10. Itineraries are Subject to Change
Asia is full of surprises and we ask our clients to be flexible. Uncompleted portions of the tour itinerary are not cause for refund. Although unlikely, your tour could be cancelled due to unforeseen circumstances. If Grand Asian Journeys cancels a tour you have reserved, the entire amount you have paid to Grand Asian Journeys for the applicable tour will be refunded to you within 14 days after the tour’s cancellation as required under Washington State law. Should this occur, Grand Asian Journeys and its representatives have no other obligations to tour members on cancelled trips including any additional costs or fees related to the issuance and/or cancellation of airline tickets or other travel reservations not made by Grand Asian Journeys.
Although we want everyone to have a good time, it sometimes happens that someone participating in a tour can misbehave or do things that are incompatible with the safety or convenience of other members of the tour. You agree that in those circumstances we reserve the right to expel someone, or even you, from a tour at any time, without any claims or complaints by you against us.
- Grand Asian Journeys acts as a booking agent for third-party tour operators and accepts no liability for the acts or omissions of those third-party tour operators; and
- Grand Asian Journeys will not be liable for any breach of any law of any other person with whom you travel on the tours.
13. Airline Responsibility
The sole and exclusive responsibility and liability of any airline shall be in accordance with and as limited by the contract of carriage in the passenger’s ticket, the applicable tariffs and the provisions of the Geneva Conventions. Grand Asian Journeys is not responsible for additional hotel nights, transportation, or meals not specified in itineraries, which may be required en route, prior to or following a trip, caused by airline schedule changes or overbooking.
14. Exclusions from Tour Price
International airfare; Personal travel insurance; visa, passport and vaccination charges; departure, airport and airline taxes; extra meals, transport costs, accommodations costs, or other expenses not included in the itinerary; laundry, postage, personal clothing, medical expenses and items of a personal nature; emergency evacuation and/or emergency search charges; tips, beverages and excess baggage charges. If any tour is delayed due to weather or road conditions, flight delays, illness, or other contingency over which Grand Asian Journeys or its agents or contracted tour operators have no control, the cost incurred by such delays must be borne by the client.
15. Assumption of Risk
Grand Asian Journeys operates trips in regions where standards of accommodation, transport, safety, hygiene, medical facilities and other infrastructure may not be of the standard that you are used to at home. By booking you acknowledge that participation in all Grand Asian Journeys trips involves inherent risks that may not be present in the case of conventional or less demanding holidays. These risks include, without limitation, the possibility of injury or death, psychological trauma, disease, loss or damage to property, inconvenience and discomfort. The possibility of experiencing all or some of these risks is likely to be higher if participation in a Grand Asian Journey trip involves visiting remote or unstable regions, or regions where there is dangerous wildlife.
16. Release and Waiver of Liability
In consideration of Grand Asian Journeys accepting your booking application and in consideration of you being permitted by Grand Asian Journeys to join the tour to the extent permitted by law:
- You release, waive, discharge, hold harmless and agree to indemnify Grand Asian Journeys and its employees, agents, licensees, guides and other representatives from all claims, actions or losses for bodily injury, property damage, wrongful death, loss of services, indirect or punitive damages or otherwise which may arise out of or occur during your travel in connection with the tour or any activities conducted in conjunction there within unless caused by the willful negligence or wrongful act of Grand Asian Journeys or its employees; and
- Regardless of the situation or circumstances giving rise to the claim you waive any claims you have, or may at any time have, against Grand Asian Journeys and its employees and you agree, by accepting the additional inherent dangers and risks associated with the tour, not to make any claim against or seek any compensation from Grand Asian Journeys and its employees in respect of any personal injury, illness or death suffered by you or damage to or loss of property sustained by you as a result of your participation in the tour.
17. TRAVEL PROTECTION
Grand Asian Journeys recommends that you purchase a Travelex travel protection plan to help protect you and your travel investment against the unexpected. Travel protection plans can include coverage for Trip Cancellation, Trip Interruption, Emergency Medical and Emergency Evacuation/Repatriation, Trip Delay, Baggage Delay and more.

18. CANCELLATION POLICY
If you wish to cancel, you must notify Grand Asian Journeys in writing. Cancellations and refunds are subject to the following:
- More than 60 days prior to departure; deposit is forfeited, the remainder is refunded.
- 60 to 30 days prior to departure, 50% of tour cost subject to refund.
- No refunds will be provided for any unused services or for cancellations made within 30 days prior to departure.
